I was contemplating switching to Data Plus for our payroll services last year. I was quite content with Peachtree Accounting Solutions – even though I had seven properties of payroll I had to key-in on a bi-weekly basis, it was simple – but yet it was time consuming – every other Monday was reserved for doing payroll – most times I would not finish until nine or ten in the evening. When I found out that Data Plus had a feature in which the hotel would simply key their hours in a spreadsheet (which was already being done) along with any tips and banquet gratuities, and all I had to do was import this spreadsheet into a file, my interest in this payroll piqued.

With the help of Cathy from Data Plus, the first payroll for each hotel was a effortless – no more keying in hours – just follow some simple step-by step procedures, and the checks were processed –saving at least an hour or two from my work schedule – especially for our larger properties. Another special feature that I really savor is their direct deposit functionality. As long as I receive the employee’s Direct Deposit Authorization form by Monday when I process payroll, the associate will have that check direct deposited that payday on Friday! No longer does an employee have to wait one or two payroll cycles before their direct deposit is approved.

Since we use Data Plus as our payroll service, paying payroll taxes is simple also! Data Plus has a “941” report that will specifically state how much your payroll tax deposit is for that particular payroll – I use this report to pay my taxes online every other week.

My biggest time-saving measure with Data Plus just occurred last week – in the past, every quarter I had to process our State Unemployment Taxes – by keying in each employee’s name, their quarter’s wages, their state income tax withheld, etc. into our state’s website for online reporting– not only this was a time-consuming measure, but a process that obviously, had to be done correctly and accurately. The programmers at Data Plus had created a program that now all I have to do is simply create a file for each hotel prior to starting a payroll in the new quarter. I then upload the file into our state’s online web reporting, and that’s it! Twenty seconds if that!

My Monday nights are now free to watch Monday Night Football – I like that.

This is a list of the top most beneficial Customer Requested Enhancements that were implemented by the Data Plus Development team:

1. General Ledger (4280): Data Plus now has an interface with the CMI Fixed Assets Application

2. Inventory (2588): Users now have the ability to set the status of an item to Inactive if there are no open transactions for that item. This will reduce the number of items in the various lists and outputs. There is also a utility that will read in a list of items and will set their status to Inactive if there are no open transactions.

3. Inventory (4268): Performance improvements have been made in all Physical Inventory browses and searches

4. All Applications (4367): Users can now enter a Vendor while searching the list of available vendors. They do not have to go to the Vendor File Maintenance screen.

5. Purchasing (4036): Users now have the ability to move an item from one Item Class to another as long as neither Item Class (the “from” or the “to”) are frozen for Physical Inventory.

6. General Ledger (4150, 4155) / Inventory (4428): Security Enhancements: If users are property-restricted, updates to the application have been made to ensure that inquiries and reports can only be run for the property to which they are restricted.

We installed the Data Plus Retail system on the 1st June 2008 and the Food & Beverage system in August 2008. Data Plus worked closely with us to enhance both products and developed them to where they are today.

The retail component is a comprehensive product and Data Plus developed this further to meet our needs. The Food & Beverage system was developed based on our needs and has recently been upgraded further.

While the testing of the full functionality within the Food & Beverage system is in an early stage, Data Plus has been very supportive and proactive in driving its development on our behalf.

When I went to San Antonio in 1999, I had the opportunity to replace the Back Office package. I selected Data Plus over four other systems and NEVER had a regret.

In the four years that we used DPHS, we had NO DOWN TIME, NO DATA CORRUPTION, and had very positive experiences with updates and fixes. Although I did not call often, when we needed to call, the support staff was available, courteous, and knowledgeable about the issues and did whatever it took to solve our problem.

Our installation at San Antonio was quick and painless. Our former program was old and we were MANY updates and versions behind, to the point where our product was no longer supported. The goal was to be able to provide accurate and timely financial information to the resort operation at the same time that staffing levels were being reduced due to the separation of The Woodlands as an independent operation.

We are very happy to say that we accomplished this goal quite readily. The first month’s financials produced after going live were on time, with complete history loaded for current year and prior year, and all statements were formatted and proofed prior to month end. Final statements were produced on the 4th working day after the close, which is one day early.

Based on my experiences with Data Plus, I would strongly recommend them to any hospitality customer as the best solution for their operation. I know that future Data Plus customers will become as excited as I am about their product, service and customer satisfaction. I am always available for reference calls so don’t hesitate to contact me.
